Avondale University is seeking applications for a full-time Director of Student Administration.

This important role is responsible for the general administrative and operational oversight of Avondale’s Student Administration Services department and particularly the Academic Office to ensure the accuracy and security of all academic records, examination procedures, academic integrity, and graduation processes, and compliance with relevant government agencies and legislation.

What will you do?

Some of the main duties will include:

  • Oversee the administration of timetabling, examinations, advanced standing/credit transfer, academic progression, academic integrity, data reporting, government compliance with TCSI and USI, and graduation processes with efficiency and integrity to maintain academic standards and achieve effective utilization of resources and equitable and consistent outcomes.
  • Oversee the Equity office and associated processes
  • Update and review all Academic Policies
  • Manage the preparation and approval process of the academic calendars and teaching period calendars.
  • Manage the accuracy, maintenance, and security of academic records for past and current students.
  • Supervise the record-keeping and clerical activities of the Academic Office to provide support to students and staff in achieving the educational objectives of Avondale University.
  • Maintain a record of accurate minutes of the Academic Board, the Learning and Teaching Committee, and the Scholarship & Prizes Committee.
  • Coordinate the approval of Avondale graduates by the Charles Sturt University Senate and the subsequent sealing of the jointly conferred testamurs;
  • Be the custodian of the Avondale University seal, and affix the seal as required under proper authority.
  • Coordinate compliance with the Higher Education Support Act 2003 in relation to:
    • Government reporting (through HEIMS)
    • Commonwealth Supported Place (CSP) eligibility and offers
    • FEE-HELP eligibility
    • VET Student Loans eligibility
    • OS-HELP eligibility and offers
    • Refund eligibility
    • Official publication of the Unit Offering Lists and Fee Schedules
    • The Education for Overseas Students (ESOS) Act 2000 and complementary legislation, including the National Code and CRICOS Registration
    • Requirements in relation to Testamurs, Academic Transcripts, Statements of Attainment and the Australian Higher Education Graduation Statement (AHEGS)
    • Privacy legislation

About you

To be successful in the Director of Student Administration role, you will be a motivated leader who has exceptional verbal and written communication skills. You will be the driving force behind the team and achieve positive outcomes for students.

Essential criteria

  • Supportive of the mission, values, and ethos of Avondale University;
  • Hold appropriate tertiary qualifications to at least a Masters level;
  • A thorough knowledge of current trends and issues in Higher Education;
  • Leadership and senior management experience with proven record of achievement, including the capacity to manage both staff and financial resources effectively;
  • High level of interpersonal, communication, negotiation and consultative skills;
  • Demonstrated ability to develop and update policy in a higher education environment;
  • Ability to apply policy in a timely and professional manner;
  • Accuracy in work and ability to meet deadlines;
  • Cooperate with all work health & safety policies and procedures related to the work being undertaken and ensure that their actions or omissions do not impact the health and safety of others. Promote a safe work environment and identify unsafe practices.

Desirable Criteria

  • Doctor of Philosophy;
  • Experience in use of electronic student record systems in the Australian higher education sector;
  • Understanding of and experience with the Australian Higher Education Support Act 2003 and the associated institutional responsibilities
  • Experience with the coordination of enrollment, examination, and graduation processes in the higher education sector.

Salary: Avondale Higher Education Worker Level 9 $122,892 – $132,591 per annum, plus superannuation.
